1. Features and Objectives

The Report Schedule module is designed to centrally configure and manage the periodic generation and email delivery of various operational, maintenance, and business reports. It enables enterprises to automatically obtain key information according to a predefined schedule without manual intervention. Administrators can customize the report type, generation cycle, delivery time, and recipients to achieve automated and standardized data distribution.

The platform supports full lifecycle management of report schedules, including creation, configuration, activation, modification, and deletion. It can also be linked to specific report templates to provide differentiated outputs for different business scenarios.

Notes:

  • Supports multiple report types, such as Device Report, Application Report, and Remote Assistance Report.

  • Supports multiple cycle types, including Daily, Weekly, Monthly, and Yearly.

  • Supports multiple recipient email addresses for cross-department or multi-role collaboration.

  • All generated reports will be delivered via email.

  • Once activated, the report schedule will execute automatically according to the configured cycle without manual triggering.

2. Primary Operations

2.1 Add Report Schedule

Description

The Add Report Schedule function is used to create and configure a scheduled report task. The system will automatically generate and send the selected type of report file to the specified email address according to the configured cycle, format, and delivery method, replacing the need for manual export and sending.

Administrators can customize the schedule name, description, included report types, export format, delivery rules, recipients, and execution time. Once submitted, the schedule takes effect immediately, and the system will execute the generation and delivery task in the next cycle.

This feature can be applied to various types of reports such as operational data, device operation logs, and application statistics, ensuring that relevant personnel receive the necessary data on time.

Notes

  • Takes effect immediately after submission — the system will automatically generate and send reports at the next matching cycle node.

  • At least one report type must be selected, otherwise the schedule cannot be submitted.

  • Recipient email addresses are mandatory, support multiple addresses, and must be in a valid format.

  • Periodic schedules will continue to run unless manually disabled or deleted.

Steps

1. Access the Add Report Schedule Page

  • On the Report Schedule list page, click the Add Report Schedule button in the upper-right corner to enter the creation wizard.

2. Configure Basic Information (Step 1: Select Report)

  • Schedule Name: Enter the name of the schedule (required).

  • Description: Optional, fill in the purpose or remarks for the schedule.

  • Select Report:

    • In the Available Reports list, check the report types to include (e.g., Device Report, Application Report, Application Statistics).

    • Selected reports will automatically appear in the right-hand list; use Select All / Clear All for quick operations.

  • Click Next to proceed to configuration.

3. Configure Report Delivery Rules (Step 2: Configure Report)

  • Report Format: Select CSV / XLSX / PDF.

  • Delivery Options:

    • Send each report as a separate attachment.

    • Package as a ZIP file.

    • Provide a download link (included in the email).

  • Attachment Size Limit: Set the maximum attachment size (MB); exceeding this value will switch to the download link method automatically.

  • Send When No Data: Choose “Yes” or “No”.

  • Recipients: Enter target email addresses (required, multiple allowed, separated by commas).

  • Email Subject: Enter the subject line (required).

  • Email Body: Optional, enter the email message body.

4. Set Delivery Cycle

  • Select execution frequency: One-time / Daily / Weekly / Yearly.

  • For weekly schedules, check specific days of the week.

  • Set the delivery time and time zone (24-hour format supported).

5. Submit Schedule

  • Click Submit to save and activate the schedule immediately.

3. Secondary Operations

3.1 Details

Description

This function allows you to view detailed information about a specific report schedule, including its basic configuration, selected report types, delivery rules, recipient information, cycle settings, and execution records. The details page provides two separate tabs:

  1. Report Schedule Details: Displays all configuration information of the schedule for easy verification and troubleshooting by administrators.

  2. Delivery Log: Records the actual execution history of the schedule, including delivery time, recipients, subject, content, and attachment information.

By using the Details feature, administrators can quickly understand the running status, configuration parameters, and sending history of a report schedule, which facilitates subsequent operations and optimization.

Notes

  • Only existing report schedule records can be viewed.

  • The Delivery Log only records the actual sending history; if the schedule has not yet been executed, it will appear empty.

  • The configuration information in the Report Schedule Details is read-only; to modify, return to the list and use the Edit function.

  • Exceptions such as email sending failures or attachment size limit exceedances will not be directly shown in the Report Schedule Details; check system logs or email error messages instead.

  • Attachments in the delivery log are snapshots at the time of sending; the platform does not guarantee long-term storage, so recipients are advised to download and save promptly.

  • Viewing details does not affect the execution of the schedule.

Steps

1. Access the Report Schedule Details Page

  • Open the Report Schedule module.

  • Locate the target schedule in the list and click the Details button to enter the details page.

2. View the "Report Schedule Details" Tab

This tab contains the following sections:

  • Selected Reports: Lists the chosen report types (e.g., Device Report, Application Report).

  • Report Delivery Format: Includes report format (CSV/XLSX/PDF), delivery options (separate attachments/ZIP package/download link), attachment size limit, and whether to send when no data is available.

  • Email Recipients: Shows recipient email addresses, email subject, and email body.

  • Delivery Cycle: Includes delivery time, cycle type (One-time/Daily/Weekly/Yearly), and specific time settings.

3. View the "Delivery Log" Tab

This tab records the actual delivery history of the schedule:

  • Delivery Time: The time the schedule executed and sent the email.

  • Recipients: Email addresses that received the report.

  • Subject: Email subject line.

  • Email Content: Email body (if any).

  • Attachments: The report files or download links sent.

If the schedule has not been executed, it will display a “No Data” status. Supports searching by Subject or Recipient Email Address and exporting delivery records.

3.2 Enable/Disable

Description

The Enable/Disable function allows quick control over the execution status of a report schedule.

  • Enable: Resumes the schedule to "In Progress" status, and the system will automatically generate and send the report according to the set rules in the next cycle.

  • Disable: Changes the schedule status to "Paused," and the system will stop executing the schedule, no longer generating or sending report emails.

This function is useful for temporarily suspending a schedule (e.g., when the report content is no longer needed or recipient information needs updating) or re-enabling a previously paused schedule when required.

Notes

  • Disabling requires confirmation, and takes effect immediately after confirmation.

  • Enabling does not require confirmation — once clicked, the schedule immediately enters the "In Progress" status.

  • Disabling does not delete the schedule's history records.

  • After enabling, the schedule will execute the report generation and sending in the next cycle; it will not retroactively send missed reports from the current cycle.

  • Enabling/Disabling only affects schedule execution and does not change the schedule configuration.

Steps

Disable

  1. In the Report Schedule list, locate the target schedule.

  2. Click the Actions button in the operation column and select Disable from the dropdown menu.

  3. The system displays a confirmation prompt describing the impact of disabling (e.g., recipients will no longer receive the report email).

  4. Click Confirm to complete the disable action; the schedule status changes to "Paused".

Enable

  1. In the Report Schedule list, locate the target schedule with a "Paused" status.

  2. Click the Actions button in the operation column and select Enable from the dropdown menu.

  3. The system immediately updates the schedule status to "In Progress" without further confirmation.

  4. The schedule will automatically execute the generation and sending task in the next cycle.

3.3 Edit

Description

The Edit function allows you to modify all configuration details of an existing report schedule, including schedule name, description, included report types, report format, sending rules, recipient information, and cycle settings. This is useful when schedule requirements change, recipients need updating, or cycle adjustments are required, ensuring the report schedule continues to meet current business needs.

The editing process is similar to creating a new report schedule, except that when editing, the system loads the existing configuration of the selected schedule so that you can make adjustments and save changes.

Notes

  • Editing will directly affect the subsequent execution of the schedule — confirm that all modifications are correct before submitting.

  • All fields can be modified, including report types, format, and cycle.

  • Changes take effect immediately, and the next cycle will generate and send reports using the updated configuration.

  • Editing does not affect the schedule's historical sending records.

  • Recipient email addresses must be valid and can include multiple addresses.

  • Adjusting attachment size limits or sending methods may affect report reception and download experience.

  • If all report types are removed during editing, you cannot proceed to the next step.

  • Ensure that changes to time and cycle meet business needs to avoid delays or excessive email volume.

Steps

1. Access the Edit Page

  • In the Report Schedule list, find the schedule you need to modify.

  • Click the Edit button in the corresponding operations column to enter the editing wizard.

2. Adjust Basic Information (Step 1: Select Reports)

  • Schedule Name: Modify the name (required, max 256 characters).

  • Description: Update the purpose or notes for the schedule (optional).

  • Select Reports: In the "Available Report Plans" list, check or uncheck report types; selected reports appear on the right.

  • Click Next to proceed to the configuration step.

3. Modify Report Sending Rules (Step 2: Configure Report)

  • Report Format: Switch between CSV / XLSX / PDF.

  • Sending Options: Choose "Send each report as a separate attachment," "Send as a zipped file," or "Provide download link."

  • Attachment Size Limit: Adjust threshold (MB); if exceeded, the system automatically switches to the download link method.

  • Send When No Data: Toggle "Yes/No."

  • Email Recipients: Add, remove, or modify recipient email addresses (required).

  • Email Subject: Modify the subject line (required).

  • Email Content: Update the body text (optional).

4. Adjust Sending Cycle

  • Modify frequency (Once / Daily / Weekly / Yearly).

  • For "Weekly," adjust the specific days.

  • Update exact sending time and time zone.

5. Save Changes

  • Click Submit — the system immediately saves the new configuration and applies it.

  • The updated schedule will execute in the next cycle according to the latest settings.

3.4 Delete

Description

The Delete function permanently removes an existing report schedule record. Deleting a schedule will also remove its configuration settings and execution plan but will not affect previously sent email records.

This function is intended for schedules that no longer need to be executed, such as discontinued business monitoring tasks or outdated statistical plans that have been replaced.

Notes

  • Deletion is irreversible — proceed with caution.

  • You can delete a schedule regardless of whether its status is "In Progress" or "Paused."

  • Once deleted, the schedule will disappear from the list and cannot be restored through the platform.

  • Previously sent emails are not deleted and can still be found in the recipients' inboxes.

  • Ensure the schedule is no longer needed before deleting it to avoid data interruption.

Steps

  1. In the Report Schedule list page, locate the schedule you want to delete.

  2. Click the Actions button in the operations column, and select Delete from the dropdown menu.

  3. The system will display a confirmation prompt indicating that the schedule will be permanently removed.

  4. Click Confirm to complete the deletion — the schedule will be immediately removed from the list.

  5. Click Cancel to abort the operation, and the schedule will remain unchanged.

4. Configuration Items Description

The table below lists the meaning and function of each main configuration item in the Report Schedule module, helping users correctly set parameters and understand their impact when creating or editing a report schedule.

Select Reports

Select one or more report types from the system’s available options. At least one must be selected. Supports quick “Select All” or “Clear All.”

Report Format

The file type for the generated report. Supports CSV, XLSX, and PDF formats. CSV is smaller and highly compatible, XLSX is suitable for structured analysis, and PDF is ideal for non-editable archiving.

Sending Options

How the report attachments are handled in emails: send each report as a separate attachment, package as a ZIP file, or provide a download link.

Attachment Size Limit

The maximum file size for attachments (in MB). If exceeded, the system will automatically switch to “download link” mode. Default is 10MB and can be adjusted as needed.

Send When No Data

Determines whether to send emails if no data is available in the reporting period. Yes: send an empty report; No: skip sending.

Email Recipients

Email addresses to receive the reports. Mandatory field. Supports multiple addresses separated by commas.

Email Subject

The subject line for the report email. Mandatory. Up to 256 characters. Recommended to include the schedule name and time period.

Email Content

The body content of the report email. Optional. Up to 512 characters.

Cycle Type

The timing rules for report generation and sending. Options: One-time, Daily, Weekly, or Yearly.

Cycle Configuration

For Weekly, select specific days; for Daily or Yearly, set the exact date/time. Supports time zone selection and 24-hour format.

Status

The schedule’s running state: In Progress or Paused. Can be toggled via Enable/Disable actions.
