Printer Alert Tone

Configure and apply printer beep templates to enable voice prompts after printing. Available for KMA and IMA devices.

1. Feature and Purpose

Module Functionality: The printer beep module is designed to configure voice prompts on terminal devices triggered by specific printing events (e.g., paper shortage, successful print, device update), improving user experience and enhancing human-machine interaction. Template data is preset by the device manufacturer. Enterprise users can assign beep rules to device groups, which will trigger the voice prompts automatically based on the configured conditions.

Voice Prompt Data Notes:

  • All audio clips are preset and uploaded by the device manufacturer (OEM);

  • Enterprise users cannot customize the audio content, only select from predefined options;

  • Different languages (e.g., Chinese, English) correspond to different sets of audio prompts;

  • A single beep rule can only be assigned to one device group and cannot be shared across multiple groups;

  • Once the rule takes effect, the device will automatically play the assigned audio content based on the set conditions.

Primary Operations:

  • Create a beep rule: Select a device group and language type, then choose and combine preset audio clips. Submit the rule to push it to the devices.

Secondary Operations:

  • View details of a beep rule;

  • Edit existing rule content;

  • Delete unused beep rules.

Typical Use Cases:

  • Devices issue voice alerts automatically for conditions like low battery, overheated print head, or open printer cover;

  • Provide voice confirmation after printer firmware updates;

  • Multi-language stores apply corresponding beep rules based on language settings.

2. Main Operations

2.1 Create Printer Beep Rule

Description

The "Create Beep Rule" function allows configuring preset voice prompts on supported devices, so that they emit specific audio messages when certain conditions are met. This feature is applicable to KMA and IMA devices only and allows selecting only one device group for configuration. Each device group can only be bound to one beep rule.

The types of beeps are predefined by the device manufacturer (OEM). Users can only select and apply the existing options, and cannot customize or upload new audio content.

  1. Open the Creation Page

    • Click the [Create Beep Rule] button in the upper right corner of the beep rule page to open the creation popup.

  2. Fill in Basic Information

    • Rule Name (Required): Define a custom name for the current rule;

    • Device Group (Required): Select a device group to apply the beep rule (only one group can be selected);

    • Beep Type (Required): Choose the OEM-provided language type (e.g., "中文", "English").

  3. Preview Beep Content

    • After selecting the beep type, the system will automatically load the corresponding audio source;

    • The audio set includes prompts for different printer states (e.g., out of paper, low battery, update failure);

    • Each audio clip can be previewed via the play button to confirm it meets your expectations;

    • Beep content is read-only and cannot be modified or deleted to ensure consistency.

  4. Submit the Rule

    • After confirming the configuration, click [Submit] to create the beep rule and push it to the selected devices.

Notes

  • This feature is applicable only to KMA and IMA devices; GMA devices will be automatically excluded and the rule will not take effect;

  • Each device group can be bound to only one beep rule—duplicate configurations are not allowed;

  • Beep content is uniformly provided by the device manufacturer and cannot be modified or replaced by the user;

  • If a device does not support beep playback, the configuration will be ignored;

  • When the rule is pushed, the system uses different mechanisms based on device type:

    • For KMA and IMA devices that are online, the command will be pushed immediately;

    • For KMA devices that are offline, the command will be queued and pushed once the device comes online;

    • For IMA devices, the command has a validity period. If it expires before being received, it will not be executed;

  • If there is an error in the configuration, you can use the "Edit" or "Delete" functions to make corrections.

3. Secondary Operations

3.1 View Details

Description

This operation allows viewing the details of a configured printer beep rule. Rule information includes the rule name, associated device group, beep language type, and the complete list of voice prompts. This is a read-only page where no modifications are allowed, but each audio clip can be previewed.

Steps

  1. Navigate to the Printer Beep module;

  2. In the rule list, click the Details button at the end of the target rule row;

  3. A pop-up window will appear displaying the following information:

    • Rule Name;

    • Device Group;

    • Beep Type (Language);

    • List of Voice Prompts;

  4. Click the Play icon on the right side of each prompt to preview the voice message;

  5. Click the Close button in the upper-left corner to exit the page.

Notes

  • The page is read-only and does not support editing;

  • All voice content is predefined by the system based on the selected language and cannot be modified or deleted;

  • Audio preview is supported to help confirm voice content.

3.2 Edit

Description

This operation allows modifying an existing printer beep rule, including the rule name, beep type, and audio content. It enables enterprise users to flexibly adjust rules to accommodate changing business needs.

Note: The device group field cannot be modified. All other fields are editable.

After editing, the system will automatically handle rule deployment based on device type:

  • For KMA devices, if the device is offline, the rule will be pushed once it comes online;

  • For IMA devices, configuration commands have a time limit. If not received in time, they will expire;

  • If the group contains GMA devices, they will be automatically ignored, as the rule does not apply to them.

Steps

  1. In the printer beep rule list, click Actions > Edit to open the rule editing interface;

  2. Modify the rule name, beep type, or audio content. Device group selection cannot be changed;

  3. Click Save, and the system will immediately update the rule and execute the deployment;

  4. You can review the updated audio content in the rule detail page.

Notes

  • Printer beep rules apply only to KMA and IMA devices. GMA devices will be automatically excluded;

  • If devices are offline, the deployment mechanism will follow device type rules:

    • KMA devices support offline buffering;

    • IMA devices cache the rule temporarily with a validity period;

  • It is recommended to perform edits when devices are online and stable to ensure timely configuration;

  • All edit actions will be logged in the system for auditing and traceability.

3.3 Delete

Description

Printer beep rules support manual deletion. When a specific beep rule is no longer needed or a new rule needs to be configured, it can be removed using the delete function. Deleting a rule will revoke its beep configuration from the device, reverting it to the system's default beep behavior.

The system will determine the deployment timing and method based on the device type.

Steps

  1. Initiate Deletion

    • In the printer beep rule list, click the Actions button next to the target rule and select Delete;

  2. Confirm Deletion

    • A system prompt will appear, showing the name of the rule to be deleted;

    • Click Confirm to proceed, or Cancel to abort the operation;

  3. System Execution

    • The system will immediately delete the rule and execute the corresponding deployment;

    • Once deleted, the rule will be removed from the list, and devices will revert to their default beep settings.

Notes

  • Deletion is irreversible. Once deleted, the beep rule for the group will become invalid immediately;

  • Each device group can only be associated with one beep rule. After deletion, a new rule can be configured;

  • If a KMA device is offline, the delete instruction will be pushed when the device comes online;

  • For IMA devices, delete instructions are cached temporarily. If not received within the validity period, they will expire;

  • GMA devices do not support beep rules. The system will skip them automatically during deployment;

  • Once deleted, devices will revert to the factory default beep sounds and no longer play the previous voice prompts.

4. Configuration Item Description

This module includes relatively simple configuration fields, primarily covering rule name, device group, beep type, and beep sources. Details are as follows:

The system automatically loads the beep source list based on the selected beep type (read-only); the list includes prompts for various printer statuses (e.g., paper out, low battery, update failure). Each entry can be previewed; beep content cannot be modified or deleted.

Deployment Rules

Beep rule deployment and execution depend on the device type, as follows:

  • KMA Devices: If online, the configuration is pushed immediately; if offline, it will be delivered automatically once the device comes online.

  • IMA Devices: Configuration commands are cached for a limited time. Devices must come online within the validity period to receive the configuration, or it will expire.

  • GMA Devices: Not supported for printer beep rules. The system will automatically skip these devices and not deliver the configuration.

Activation Behavior

  • Once the configuration is successfully submitted, the device will automatically play the assigned voice prompt when it enters a corresponding status (e.g., paper out, low battery).

  • If the rule is deleted, the device will revert to factory default beeps and will no longer play the previously configured voice prompts.
