1. Features & Application Objectives
The My Files module is designed to centrally manage various business file resources that enterprises need to distribute to devices, including but not limited to images, documents, and configuration files. Administrators can upload required files and perform actions such as view, modify, and delete. All uploaded files can be referenced in Content Policies, supporting unified upload, policy binding, and targeted delivery—ensuring secure, standardized, and traceable content distribution.
The platform offers full file lifecycle management capabilities, including dynamic updates and cleanup mechanisms, making it suitable for industries requiring device maintenance, content deployment, or resource distribution.
Important Notes:
Multiple file formats are supported; the maximum size per file is 1 GB.
Uploaded files can be directly used in policies without requiring additional activation.
Files that are already bound to a policy can still be modified or deleted:
Modify replaces both the file itself and its metadata;
For devices that have already downloaded the file, there is no impact—the original file remains in place;
For devices that haven’t downloaded the file:
The policy will automatically reference the updated file;
Manual download will retrieve the latest file version;
Delete will remove the file from the platform:
Devices that have downloaded it remain unaffected;
On undownloaded devices:
The file will be unlinked from associated policies;
The file will no longer be displayed in the KC App and cannot be manually downloaded;
The File Details page provides tracking information such as policy bindings, associated devices, and delivery records.

Distributors batch upload image/text resources and push them via scheduled content policies.

Replaces traditional file-sharing methods like WeChat, email, or USB drives with a standardized, managed delivery system.
Enables complete audit logging of file publishing and usage to meet compliance requirements.
2. Primary Operations
2.1 Add Files
Description
The Add File operation allows administrators to upload business files that need to be distributed to terminal devices. This is the foundational step for creating file distribution policies. Supported file types include images, documents, videos, configuration files, and more. Each file must be no larger than 1GB, and multiple files can be uploaded simultaneously.
All uploaded files and their metadata can be viewed in the main My Files list and can be further modified or deleted if needed.
Notes
All file formats are supported, including images, documents, audio/video, and configuration files;
The maximum size per file is 1GB. Files exceeding this limit will fail to upload;
Batch upload is supported, and each file can have its own description;
The file description supports up to 512 characters; any excess will be truncated;
Once uploaded and saved, the file is immediately available for use in file distribution policies;
During upload, files can be removed by clicking the trash bin icon;
To replace a file after uploading, use the Modify operation in the My Files module.
Steps
Access the Add File Page
Click the Add File button at the top-right corner. A file upload dialog will appear.
Select File(s)
Drag files into the upload area or click the area to browse and select files;
You can upload multiple files at once, and the system will display the upload status.
Enter Descriptions
Enter optional descriptions for each file in the field next to it;
It’s recommended to clearly describe the file’s content or purpose (e.g., “POS Config Template”, “Product Training Manual”).
Review Upload Information
Check the file name, description, and size;
If you wish to remove any file, click the trash bin icon to delete it.
Save Files
Click the Save button at the bottom-right corner to complete the upload;
Successfully uploaded files will appear in the My Files list and can be referenced by policies.
2.2 View Details
Description
The View Details operation is used to inspect the metadata, associations, and distribution status of a specific file. It serves as the primary entry point for administrators to conduct audits and trace policy associations.
By default, the detail page displays core file information and includes multiple tabs to help users quickly understand:
Which policies reference the file;
Which organizations and devices have received it;
The distribution progress and history.
With this information, administrators can efficiently trace usage paths, troubleshoot distribution issues, and manage file versioning.
Notes
The details page includes the following key information:
Basic file info such as name, type, size, description, uploader, and creation time;
Associated file distribution policies and their activation statuses;
Distribution records for device groups and terminal devices;
Admin activity logs and backend system logs related to the file.
If the file has been delivered via policy, the detail page displays the full distribution chain, including policy, group, and device-level records.
Once a file is deleted, its detail page becomes inaccessible. Be sure to complete audits before deletion.
Steps
Access the "My Files" Page
Navigate to the My Files module from the platform sidebar;
Locate the target file in the list and click the Details button on the right.
Review Overview Information
The top section displays the file’s basic attributes, including:
File Name;
File Type (e.g.,
.pdf,.jpg,.json);File Size;
File Description;
Created By;
Creation Time.
Browse Information Tabs
The file details page includes the following tabs:
Associated Policies
Lists all policies currently referencing the file;
Includes Policy ID, Name, Type, Version, Operator, and Application Time;
Useful to determine if the file is active in any current strategy.
Distributed Groups
Lists all device groups to which the file has been pushed through policies;
Includes Policy ID, Group Name, Device Count, Policy Name, and Association Time;
Supports pagination and filtering.
Distributed Devices
Shows details of devices that have received the file;
Includes Policy ID, Device Name, Policy Name, OS Version, Serial Number, and Association Time.
Operation Logs
Records administrator actions on the file, such as description edits, deletions, and views;
Includes Operator, Operation Type, Timestamp, and Result.
System Logs
Shows automated backend actions performed by the system;
Includes events such as policy bindings, push commands, and retry logs;
Useful for diagnosing issues with distribution or anomalies.
3. Secondary Operations
3.1 Modify
Description
The Modify operation allows administrators to update the content or description of an already uploaded file. This is typically used for version replacements, content corrections, or adding additional context.
Administrators can perform the modification directly from the My Files page. There is no need to remove policy bindings — the platform will automatically update references in associated strategies with the newly uploaded file.
Notes
Both file replacement and description updates are supported; they can be performed independently;
Policy bindings do not need to be removed before modification; the system will auto-update all references;
After modification, any strategies referencing the file will immediately point to the new version;
Devices that have already downloaded the previous version will remain unaffected to ensure business continuity;
It's recommended to provide a clear and accurate description for the updated file to aid in version tracking;
Devices that download the file after the modification will receive the updated version;
The operation is irreversible — verify the updated file before saving.
Steps
Go to the "My Files" Page
Navigate to Content Management > My Files from the sidebar;
Locate the target file in the list, click the Actions button on the right, and select Modify.
Replace the File
In the pop-up window, click the trash icon beside the current file to remove it;
Upload a new file — the system will automatically detect the format and size;
Once uploaded, the file name and size will be shown in the interface.
Update the Description
Enter or update the file description in the input field;
It is recommended to include the purpose, version, and applicable use cases for easy reference.
Save Changes
After confirming the new file and updated description, click the Confirm button at the bottom;
The system will save the changes and update all strategy references accordingly;
You will be returned to the file list where the updates will take effect immediately.
3.2 Delete
Description
The Delete operation is used to remove uploaded file resources from the platform. When a file is no longer needed — due to naming issues, outdated versions, or other reasons — administrators can perform this operation to clean up resources. Once confirmed, the deletion takes effect immediately, and the system automatically removes the file from all associated strategies.
Notes
This operation is irreversible. Please confirm whether the file is still being referenced in any active strategies before proceeding;
After deletion, the platform handles impacted devices as follows:
Devices that have already downloaded the file: The file remains locally and is not affected;
Devices that have not downloaded the file:
The file will be automatically removed from all related strategies;
The file will no longer appear in KC App, and cannot be downloaded by the user;
Deletion does not affect historical logs — previous usage records will still be available for audit purposes;
For large-scale cleanup, it is recommended to first unbind the file from strategies, tag descriptions for grouping, and use batch selection for phased deletion.
Steps
Go to the “My Files” Page
From the left-hand sidebar, navigate to Content Management > My Files;
Locate the file to delete, click the Actions button on the right, and select Delete.
Confirm the Deletion
The system will display a Delete File confirmation dialog;
Carefully verify that the selected file is correct, then click Confirm.
Complete the Deletion
The file will be deleted immediately from the platform;
If the file was part of any strategy, it will be unbound and removed automatically, and the file will no longer appear in KC App for devices that haven't downloaded it;
The page will return to the My Files list — the deleted file will no longer be visible.
